Medical Transcription

Here's How We Do Business:

For our medical facility clients, we use an online medical transcription Application Service Provider (ASP) program.  The ASP is an online medical transcription based program.  How it works is our medical transcriptionist's (MTs) will type your dictations, send the completed dictations to our Quality Assurance department (QA).  Once they have been proofread, the dictations are sent to a folder on the server for you or your staff to review, electronically sign, and complete.  Once the transcription is complete, your office staff will print the dictations and place the dictations in the patient's chart.  If you utilize an electronic medical record (EMR) system, the patients dictations will be exported to your EMR program. 

Of note, you have the option to auto fax your dictations including letters, OP reports, progress notes, etc., from the ASP program before you print the dictations. 

Your Company Logo:

With the ASP program, we can save your company logo, so when you dictate a letter for example, the letterhead is already printed on the paper for you, which you then can electronically sign your name on the letter, and auto fax directly from the system. 

Signatures:

You have three ways to sign off on your reports:  1) manually sign your documents, 2) electronically sign with your name typed, date, and time stamped, or 3) graphically sign your documents with your signature template.  (Instructions will be provided for the graphical signatures). 

Import Patient Demographics:

If your office program allows you to print daily patient schedules, we can import your patient data into the ASP program.  This will help with the patient demographics, such as the correct spelling of patient names, DOB, and DOE, etc.

Dictating Options:

When dictating, you have the option of using a Toll-Free phone-in system or utilizing a handheld digitial recorder.  The Toll-Free phone-in system will be charged at a higher rate.  If you call the (608) area code phone number for dictating, there is no charge for the phone-in system.  If you choose to dictate with a handheld recorder, there are no additional fees, only the per line rate is assessed and the auto fax fees if utilized. 

Please call ET Transcriptions for make and model verification regarding digital recorders.  Most recorders will suffice if the audio files are saved as .wav, .mp3, .dss, .mpeg, windows media file, etc.

Training:

ET Transcriptions will provide a 20-30 minute interactive training course once you and your staff are ready to "go live" with the ASP program.  We suggest all dictators and administrative staff participate in the initial training.  This training can be done simultaneously online through different computers.  The training is similar to a "webinar" and the training is provided as a courtesy to our clients.

Invoicing:

Invoices are delivered to you at no charge.  The invoices are itemized with the number of lines dictated on a daily basis, as well as the cost for each day of dictation.  If you have more than one provider being billed on the same invoice, the total line count will be separate for each provider.
